Rules and Guidelines
Competition Description
Young artists, ages 12 – 18 residing in the Coffs Harbour Local Government Area, will create a painting or digital image, that illustrates the message of the theme: Australian Native Flora & Fauna. Contestants can use paint or digital art techniques if the work meets the size requirements designated in the Official Rules.
Through the creation of their work, the goals of the competition are twofold. The first is to give youth an opportunity to express how they view their local, natural environment. An additional goal of the competition is to give youth the opportunity to highlight the beauty of our local area and raise awareness about the importance of conserving native flora and fauna in maintaining a healthy environment and community.
The artwork should address the theme of Australian Native Flora & Fauna, with a focus on the natural environment of the Coffs Harbour Region. The subject matter of the art can centre around different landscapes, including rainforest, sclerophyll forests, headlands, dunal regions, heathy waterways and lagoons and the fauna that inhabits it including birds, mammals, lizards and/or amphibians. It could focus on the natural environment from bush to beach or convey Indigenous knowledge of the land and ancestral stories. These are just a few ideas and should in no way limit the interpretation of the theme on the artist’s message.
A First-Place cash prize of $250.00 will be awarded. The winning artwork, and additionally any honourable mentions (no cash prizes) will be displayed at the office location of Coffs Harbour Regional Landcare and may be printed for use as an outdoor mural, adorning the building entrance.
Official Rules and Submission Details
- Conditions of Entry
By submitting an Entry in this Project, each Entrant warrants and represents that the Entrant owns all rights to the Entry he/she is entering in this Competition and is the sole work of the Entrant. By submitting an Entry, the Entrant agrees to the Official Rules, and further agrees to indemnify and hold CHRL and their respective affiliates, officers, directors, agents, co-branders or other partners, and any of their employees (collectively, The Project Indemnities), harmless from any and all claims, damages, expenses, costs (including reasonable solicitors fees) and liabilities (including settlements), brought or asserted by any third party against any of The Project Indemnities due to or arising out of the Entrant’s Entry materials in this Project, or the Entrants conduct during and in connection with the Project, including but not limited to trademark, copyright or other intellectual property rights, right of publicity, right of privacy or defamation. Entrant agrees to release, indemnify, and hold harmless CHRL from all claims that any advertising, presentation, web content or any other material subsequently produced, presented, and/or prepared by or on behalf of CHRL infringes on the rights of Entrant’s work as contained in any Entry.
- Eligibility Requirements
Anyone aged 12-18 residing in the Coffs Harbour Local Government Area at the time of entry is eligible.
- Basic Requirements of the Project
Artwork can be an image created using paint or digital art techniques and must relate to the theme of the Competition: Australian Native Flora & Fauna.
2-D Pieces – Orientation must be landscape for all images. Paintings must be no smaller than 29.7 X 42 cm. Printed versions of digital images must be submitted and accompanied by an electronic file (minimum of 300 DPI and submitted in TIFF and JPEG format).
An Impact Statement of no more than 300 words is also required.* The purpose of this statement is to describe how the artistic representation embodies the theme of the Competition: Australian Native Flora & Fauna. It will be used in the judging process to aid in the understanding of the Entry. The answers to the following questions should be included in the statement:
How does your work share your ideas about the theme: Australian Native Flora & Fauna?
Why is this idea important to you?
What do you hope will happen when people see your work?
Each Entry should bear a title. The suggested title length should be no more than 8 words.
2D entries should not be matted or framed. For Entries chosen as First Place and Finalists, the Entrant gives permission for CHRL to display the image at the CHRL office for up to 90 days and on their website for an indefinite period of time. For the First Place Entry, the Entrant gives permission for CHRL to digitally recreate and display the image at the CHRL office location for an indefinite period of time and acknowledges they are not entitled to further monetary compensation by CHRL.
- Entry Requirements
Entries can be submitted by mail to Coffs Harbour Regional Landcare, PO Box 1730, Coffs Harbour, NSW, 2450 or in person (Monday to Thursday, 9:00 am to 3:00 pm) to Unit 1, 14A Lawson Crescent, Coffs Harbour. Digital images are to be submitted by email to [email protected]. In addition to the information requested on the entry form, artists will attach the appropriate image of their work and an Impact Essay by which their work will be judged. The completed entry form, image and Impact Essay should be included in the online entry

- Additional Requirements
To be complete, all applications must include the following: Entry Title, Submitter’s Name, Submitters Age, and Grade. If under the age of 18, the application must include Parent or Legal Guardians’ Name, Email, and Signature of Permission for Entry. All of these elements must be valid, or any prizes may be forfeited. Additional information such as a contact phone # may also be requested.
All Entries must have a Title listed on the Entry Form. The Title should be no more than 8 words in length and should not include Coffs Harbour Landcare or CHRL in the title. Original titles that evoke the message of the artwork are recommended.
All Entries should have the dimensions of the work listed.
All Digital Entries must be downloadable and free of watermarks to be accepted.
All Entries must not be entered in another art contest during this Competition.
Only one entry per contestant.
- Entry Deadlines
An Entry will only be considered for judging that has been submitted with a complete Entry Form by the designated deadline.
Submissions Closes: Sunday, May 30th, 2021 Finalists and First Prize Winner Announced: Wednesday, June 23rd, 2021*
Finalist Artwork Delivered/Sent to CHRL by post must be post-dated no later than Saturday, May 29th, 2021.
Winners Announced: Wednesday, June 23rd, 2021, on the CHRL website at www.coffsharbourlandcare.org.au/category/news/ and via social media at www.facebook.com/coffslandcare. NOTE: The First Prize Winner will be contacted by personally by phone and email on Wednesday, June 23rd, 2021.
Entries can be retrieved at the CHRL office by the owner following Wednesday, June 23rd. Any Entry not retrieved by Friday, July 23rd, 2021, maybe donated to other entities. It is not the responsibility of CHRL to return the artwork to the Entrant, however, if a pre-paid, self-addressed envelope is included with the Entry, CHRL designees can send the work back to the artist.
- Confirmation of Entry
Each Entrant will receive a Confirmation of Entry once the application form has been accepted and the submitted Entry has been properly received. If the electronic Entry cannot be downloaded, the Entry will not be accepted, and you will not receive a confirmation. Be sure the email you provide on the application is correct. If you believe you have submitted your completed Entry and have not received a confirmation of submission within 72 hours of submission, please send an email to [email protected]. Write “Art Contest Submission” in the subject. The end date for this request is Friday, May 28th,2021.
- Artist Agreement
Entrants will be required to agree to the Official Rules. If under the legal age of majority in your state of residence, the Entrants parent or legal guardian must agree on your behalf.
By submitting, The Entrant agrees to these Official Rules, which sets forth the rights of Entrant and CHRL with respect to the use of Entries by CHRL. Entries that do not include all required information and adhere to the foregoing and following requirements will be considered void and will not be considered for the prize in this Project.
- Entry Costs
All costs associated with the production for the Entry are solely the responsibility of the Entrant. All Finalists will be required to retrieve their Entry at the end of the competition as outlined. If desired, the Entrant can include a pre-paid self-addressed envelope and CHRL designees can then return the artwork following the competition. Any submission not retrieved by July 23rd, 2021, may be donated to another entity.
- Designated Artist
If any group of individuals elects to collaborate on an Entry, they are required to designate one (1) person as the agent of the group to enter the Project. They must agree to these Official Rules and accept any prize on behalf of the group. CHRL is not liable for any disputes between collaborators arising out of or related to the Project.
For those who participate in a group, the student whose name appears as the primary contact on the Entry Form will be considered the team leader and will be the primary point of contact for the team.
- Selection of Winners
The Finalists, including the First Place, winners will be selected by CHRL Executive Members and agreed upon by CHRL staff. The decisions of CHRL with input from the judges will be final. Entrants agree that CHRL has the sole right to decide all matters and disputes arising from the Project and that all decisions of CHRL are at its sole discretion and final.
Entries will be judged by a process in which CHRL Executive Members will evaluate the eligible Entries along with information from the Impact Essay based on the following judging criteria:
Artistic Merit (e.g., aesthetic value, use of artistic elements)
Adherence to the Theme (communication of theme – Australian Native Flora & Fauna)
Impact (inspires viewers to take environmental action)
In the event of a tie, the tie will be broken at the discretion of CHRL. Entrants agree that CHRL has the sole right to decide all matters and disputes arising from the Project and that all decisions of CHRL are at its sole discretion and final.
The cash prize recipient will be responsible for any taxes associated with the prize.
- Winner
Every effort will be made to contact the winning Entrant prior to the announcement on Wednesday, June 23rd. Images of Finalists and the Winners’ Entry may be posted online at www.coffsharbourlandcare.org.au and across CHRL’s social media platforms.

- General Conditions
By participating, Entrant agrees to these Official Rules. These official rules will be governed and interpreted according to the laws of the state of New South Wales.
- Limitations of Liability and Release
No liability or responsibility is assumed by CHRL resulting from any user’s participation in or attempt to participate in the Project or ability or inability to submit any information in connection with participating in the Project. No responsibility or liability is assumed by CHRL for technical problems or technical malfunction arising in connection with any of the following occurrences which may affect the operation of the Entry or the Project: hardware or software errors; faulty computer, telephone, cable, satellite, network, electronic, wireless or Internet connectivity or other online communication problems; errors or limitations of any Internet service providers, servers, hosts or providers; garbled, jumbled or faulty data transmissions; failure of any e-mail transmissions to be sent or received; lost, late, delayed or intercepted e-mail transmissions; inaccessibility of the web site in whole or in part for any reason; traffic congestion on the Internet or the web site; unauthorized human or non-human intervention of the operation of the Project, including without limitation, unauthorized tampering, hacking, theft, virus, bugs, worms; or destruction of any aspect of The Project, or loss, miscount, misdirection, inaccessibility or unavailability of an email account used in connection with The Project. CHRL is not responsible for any typographical errors in the announcement of prizes or these Official Rules, or any inaccurate or incorrect data contained on the web site or social media sites maintained by CHRL. The use of web site and CHRL social media sites is at the user’s own risk. CHRL is not responsible for any personal injury or property damage or losses of any kind which may be sustained to user’s or any other person’s computer equipment resulting from participation in The Project, use of the Web Site or the download of any information from the web site. By participating in the Project, Entrant agrees to release, indemnify and hold CHRL harmless from any and all claims, damages, or liabilities arising from or relating to such Entrant’s participation in the Project.
